RETURNED GOODS AUTHORIZATION USING STANDARD MACOLA
AT NO COST TO YOUR COMPANY
Does your company need a simple and effective RGA (or RMA) system, but you don't want to invest in Macola's Advanced Distribution functionality to get it ? Or, perhaps Macola's RMA is too complex and provides more capability than your company needs ? There is an easy cost free method that will help your company accomplish a significant level of RGA functionality. AN RGA system provides (at a minimum) the following: Identify the customer returning goods.
Identify the item(s) to be returned.
Assign a deadline date to the items after which they may not be accepted back.
Provide an RGA number to your customer for identification and documentation.
Print out the completed RGA form for your warehouse personnel.
Provide a report of outstanding RGA's with dates and values. Utilize a certain number series of Quote Orders, since they are on a separate counter in the order entry set up file. This range will be your RGA's. If you don't use quotes for qouting purposes anyway, you won't need to reserve this range. In the system manager, design the quote form to be your RGA Form. Save it under a different form number. Using the quote type order in this fashion, you get all of the functionality described above.
Create the qoute, enter the customer, item(s) and deadline dates. Tell the customer the RGA number and/or print out the form and fax it to them. Send a copy to the warehouse.
When the goods arrive, simply delete the respective "Quote" order and process a credit memo if appropriate. By running an edit listing of quote type orders within the aforementioned range, you have a report of outstanding RGA's with a total. I'm sure many of you could write a very nice Crystal report for this. Don't try making a negative quote with the hope of converting into an order and the intent of fooling the system into thinking it is a credit memo. It will not work.
